Reporting to the TMS Global Senior Management team, the Coordinator, Project is responsible for administrative duties to support the overall delivery of the Tournament Bus Services (TBS) project with priority towards the Project Director, Deputy Director and Head of HR & Workforce.


  • Business Administration qualified, University Degree an advantage
  • Fluent in English, Arabic an advantage

Business Experience

  • Minimum 5-10 years of administration/executive assistant responsibilities and business related experience, and any combination of education and training, which provide the required knowledge, skills, and abilities to perform the essential functions of the job, combined with demonstrated professional growth and achievement
  • Previous experience of working in the MENA business environment essential
  • Administration in large scale project environment an advantage
  • Experience in a customer service environment an advantage

Primary Duties

  • Act as the Executive Assistant to TMS Global Senior Management, ensuring outstanding customer service to all internal and external clients
  • Manage the calendar of the Project Director & Deputy Director - organise meetings, ensure appointment conflicts are avoided with a high focus on priorities and commitments are met
  • Record meeting minutes and share with attendees highlighting issues that need revisiting and following up on the delivery of action items ahead of the next scheduled meeting
  • Collate precise and accurate updates on the status of the project from each workstream in order to support management in their monthly reporting
  • Maintain accurate files and documentation, both electronic and hard copy
  • Assist with TMS Global LLC Company processes and administration
  • Compose letters on behalf of the Senior Management Team
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Assist the Head of HR & Workforce with employee related functions
  • Assist the TMS Global Public Relations Officer & HR Department to facilitate immigration of new employees into Qatar
  • Support the administration aspects of the TMS fleet of light weight vehicles
  • As requested by Senior Management, create presentations ensuring information is shown in a clear format that can be shared with partners to view the status of certain project deliverables
  • Establish a close working relationship with each workstream lead to understand their operation and where you can support for a successful output
  • Work closely with the Project Management team to maintain the overall project timeline prioritising and escalating critical issues
  • Assist in the development of TMS Global policies, procedures and processes ensuring they are aligned to the strategic and operational roadmap


Knowledge and Skills Required

  • Excellent client service skills
  • Mastery of the Microsoft Office suite of products
  • Experience in utilization of graphics in Microsoft Power-point an advantage
  • Experience in large project administration an advantage
  • Proven experience in executive business administration
  • Excellent administration capabilities and ability to proactively assist the SMT accurate, efficient and effective processes and procedures
  • Displays highest levels of integrity and commitment
  • Excellent written and verbal communications skills
  • Demonstrates an ability to deliver excellent results
  • A willingness to work in a spirit of teamwork
